(Tech FAQ) Importing borrowers into AccessIT from eTAP
How to import borrowers
First you export the file from eTAP
- Click the 'Admin tools' button
- Click the 'Exporting/BOT Options' button
- Find the line for 'AccessIT' and click the link 'Pupil file'
- In the pop-up window choose a network folder in which to save the 'Accessit.tab' file
Then you import the file into AccessIT
- Click 'Cataloguing' - 'Borrowers' then the 'Show All' button and note the initial number of borrowers which is shown in the bottom right corner of the screen
- Click the 'Home' button to return to the main screen
- Click 'Cataloguing' - 'Imports' - 'Import borrowers' causing the 'Import Borrowers' window to open up
- Click the '...' button for specifying the location of the 'Accessit.tab' file
- When you have specified the file, check the 'File Matching' between the file from eTAP and the AccessIT borrower database
- If you are satisfied that it looks OK then click 'Start Import'
- You should see a confirmation message along the lines of 'There are 319 borrowers imported successfully.' Click 'Close' to get rid of this message.
- Repeat the first two steps above to see the updated number of borrowers. This will probably be a few more than the initial number representing new students at the school.
Verifying the number of borrowers
The number of lines of the accessit.tab import file gives you the count of valid student borrowers(*). Adding this to the number of classes and the number of staff borrowers gives you the count of valid borrowers. This should match the actual number of borrowers in AccessIT (see this count in the borrowers list view by clicking 'Cataloguing' - 'Borrowers' then the 'Show All')
(*) Note that eTAP doesn't include students marked as leavers in the file of borrowers that it creates for export to AccessIT
